The Clinic Director (CD) is responsible for the overall performance and operations of the clinic.
Position Overview: Support clinic staff; monitor productivity/capacity, identify staffing needs, and recruitment; assess clinic’s fiscal direction; and provide resource support and administrative oversight.

Responsibilities & Duties

Staff Management
  • Oversee the hiring process for therapists at their clinics, including application review, interviewing, and onboarding
  • Manage clinic staff’s PTO requests, expense reimbursement, and CEU requests
  • Review staff documentation to ensure timely documentation completion and best practices to meet compliance standards
  • Participate in weekly review of EHR service lines and 8030 reports for accuracy (supported by Mgrs where applicable)
  • Provide procentive training and ongoing support
  • Mediate escalated interpersonal employee issues and concerns
  • Implement Performance Coaching, Performance Improvement Plans, and termination process with DCO and HR support
  • Conduct clinicians’ annual Performance Reviews; Renew supervision plans annually at time of Performance Review
Supervision and Consultation
  • Participate in CD Peer Consult Group
  • Conduct weekly consultations with CM (in clinics where role is applicable)
  • Provide 1:1 consultation with all therapy staff to review productivity, caseload, and clinical documentation (minimum interval; Lisc provider once monthly for an hour; Non-Lisc provider twice monthly)
  • Track 1:1 consultation by use of 1:1 CHECK-IN NOTE
  • Oversee Rule 29 Clinic Supervision and Consultation: (MGR facilitates where applicable)
  • Co-Facilitate with CM (where MGR role applies) 4 hours of interdisciplinary group consultation for clinic staff, ensuring at least 2 different licensures are represented at each meeting
  • Ensure that all staff attend required Rule 29 consult meetings (FT staff attend 4 hours/month; PT staff attend 2 hours/month) and complete all required Rule 29 documentation
  • Review and sign documentation of pre-licensed providers (i.e., ticketed treatment plans, diagnostic assessments, discharge summaries, etc.)
  • Provide clinical oversight to clinic’s Mental Health Practitioners and Professionals congruent with state regulations and EFS policy
Clinic Oversight
  • Provide training, staff development, and administrative oversight to support the functioning of the clinic
  • Collaborate with DCO and Chief Strategy Officer (CSO) to implement strategies for fiscal and clinical efficiency
  • Monitor and manage clinic office schedules and office supplies
  • Provide timely response to concerns raised by clients, clinicians, or external stakeholders
  • Serve as point of contact for building management related issues or concerns.
  • Collaborate with Community Outreach to promote clinic visibility
  • Identify opportunities to improve client care, quality, and effectiveness
  • Maintain clinical caseload
Organizational Leadership
  • Collaborate with leadership to implement EFS policies and procedures
  • Update clinicians of changes related to EFS operations (i.e., policy changes, HR regulations, Procentive workflows, clinic updates, compliance expectations, etc.)
  • Collaborate with Community Outreach to communicate needs and/or identify community outreach opportunities
  • Provide direction and support regarding Procentive use and documentation best practices
  • Review and provide same day response to Procentive ticket, Teams, and email items during work week.
  • Respond to tech support requests of staff and escalate as needed to Ellie IT
  • Promote staff engagement on and support staff use of Microsoft Teams

Qualifications & Skills

  • Master’s Degree or higher education in mental health discipline
  • Independently licensed with a Minnesota-issued clinical practice license (e.g., LISCW, LMFT, LPCC, LP)
  • Strong problem-solving and executive skill sets
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills and attention to detail
  • Working understanding of human resource principles, practices and procedures
  • Excellent time management skills with a proven ability to meet deadlines
  • Ability to function well in a high-paced and changing environment
  • Proficient with Microsoft 365 applications, including Office Suite, Outlook, and Teams

  • CD reports to Director of Clinic Operations (DCO)
  • Clinic Manager (CM) will report to and collaborate with CD on a weekly basis (only in clinics where the CM role is applicable)
  • All clinic therapists report to CD
